Compare

You already have a client stack. It is just spread across five tabs.

Email, a shared drive, a separate e-signature tool, and a group text. None of it is bad software. This page compares the workflow, job by job, against doing the same jobs in one place.

We are not going to tell you your tools are broken. They are not. Email is the most reliable software ever written, drives are excellent at holding files, and signature tools sign documents. The cost is not in any one of them. It is in the seams: every job below crosses two or three of these tools, and each crossing costs a search, a forward, or a subscription.

Find the approval a client gave three weeks agoIt is in an inbox. You search a name, a date, or the words “looks good”, and hope the person who got it still has it.The approval is a logged step on the project, in that client’s workspace, next to the thread it came from.
Send a contract for signatureOpen the signature tool, upload, place the fields, send. It signs fine. The signed PDF then lives in a fourth place, and it is a separate subscription.E-signatures are built in. Send from the workspace, and the audit trail and certificate stay attached to the signed document there.
Know what you are waiting on across every clientYou hold it in your head, or in a doc you keep updating. Following up is a thing you have to remember to do.One waiting-on-client list across every client. After 48 quiet hours a reminder goes out on its own.
Give a client one place to lookYou send links: the drive for files, the signature tool for the contract, email for everything else. The client uses whichever one they remember. One workspace per client holding messages, files, approvals, signatures, and projects. Clients who prefer email can reply to the notification and it lands in the right thread.
Onboard a new team member into a client’s historyForward the threads you can find, share the drive folder, and explain the rest from memory. Whatever was in texts does not transfer. The workspace is the history. Give them access and they read it in order, from the first message forward.
Hand a client their whole history when the relationship endsZip the drive folder, forward a pile of threads, and dig the signed PDFs out of the signature tool. It takes an afternoon. One click exports the whole workspace: Markdown transcripts, JSON records, every file with a manifest, signed PDFs with their certificates.

The honest part

When the stack you have is fine.

Plenty of agencies do not need this, and we would rather say so here than take a month of your money finding out together.

You have two clients and one project a year

A shared drive folder and an email thread is the right amount of tooling for that. Adding software would be the more complicated option, not the simpler one.

Your work is not document-heavy

If there are no contracts to sign, few files moving back and forth, and most decisions happen on a call, the parts of this that pay for themselves never come up.

Your clients live in email and like it that way

You can meet them there without a portal. Reply-by-email helps, but if nobody will ever sign in, you are buying half a product.

Nothing has actually gone wrong yet

If you have never lost an approval, never re-sent a file, and never wondered who owes you what, the stack you have is working. Come back when it stops.

The agencies this does fit tend to look the same: five to fifty active clients, contracts that get signed, files that move both ways, and at least one moment last quarter where nobody could find the thing the client had already approved.

Move one client in and compare for real.

Two client workspaces are free. Put one live project in, run it for two weeks, and see whether the seams disappear.
